Custom forms are essential to capturing standardized field operations and office data—from leak reports to site check-ins and repairs. With SensorUp’s Form Designer, you can create, edit, preview, and activate forms that are automatically made available for assignment through Issues. These forms can also dynamically pre-fill based on linked assets, saving field users and office staff time and ensuring consistent data. Whether you’re building a basic checklist or a complex form that adapts based on asset context, the Form Designer offers flexibility, structure, and full integration with the rest of the SensorUp platform.

Step-by-Step Walkthrough

Create a New Form

  • Click “New Form” in the Form Designer interface.
  • Give your form a clear name (e.g., “Leak Repair Report”).
  • Select a Parent Asset:
    • For general inspections (e.g., Leak Report), point to a Site.
    • For follow-ups (e.g., Leak Repair), point to the specific Emission Asset.
  • Optionally add a Description and assign a Group if your system uses multi-tenancy.

Add and Configure Questions

  • Drag and drop question components onto the form canvas.
  • Click any question node to open the Configuration Panel on the right.
  • Edit properties like labels, required fields, default values, and visibility logic.
  • Recommended: Enable the Preview Panel to see real-time changes and layout accuracy.

Enable Asset-Driven Prefill (Advanced)

  • Some questions (like dropdowns or text fields) can be dynamically pre-filled using linked asset properties.
  • Example: A Leak Repair form can auto-populate Component ID, Leak Status, or Location from the linked Emission Asset.
  • These dynamic values reduce field user and office staff effort and prevent data entry inconsistency.

Save and Activate the Form

  • Click Save to preserve your draft.
  • When ready, click Activate to publish the form.
  • Activated forms become selectable within the Issue Create screen for assignment to technicians.

Key Considerations

  • Permissions: Only users with Form Designer access can create or edit forms.
  • Groups: If multi-tenancy is enabled, ensure forms are scoped to the correct group.
  • Form Activation: Only activated forms appear in the Issue module.
  • Asset Type Matching: Choose the correct parent asset to ensure proper mobile context.

A program manager builds a new Leak Repair form linked to the Emission Asset type so that key fields like Component ID and Leak Status are pre-filled automatically. After adding required fields (repair method, photos, geolocation, signature), she activates the form and assigns it through an Issue. The technician completes it in Outpost with little manual input required.
